Responsibilities of the HOA Board:

  • File tax documents
    • 1120-H, U.S. Income Tax Return for Homeowners Associations
    • 1099-NEC for contractors
  • Annual renewals
    • Trade name with the Secretary of State
    • Department of Regulatory Agencies (DORA) registration – HOA Division
    • La Veta post office box
  • Maintain adequate insurance per bylaws
  • Pay all bills including water/sewer, electricity and trash pickup
  • Invoice owners for dues and special assessments
  • Maintain financial records in Quickbooks and file receipts
  • Maintain the website and licenses for Board-related software and web services
  • Keep 2 current officers on the bank accounts including the treasurer. Remove past officers.
  • Common building maintenance Including pest control and anything needed for the safety and preservation of the building
  • Grounds maintenance and upkeep to include maintaining the parking lot pavement & having sewer lines cleaned out near the end of summer each year
  • Manage board-restricted access to maintenance room and maintain equipment and maintenance room. Purchase and store necessary supplies.
